Seamless online booking functionality

Having designed and developed a new website for Ye Olde Bell hotel & spa last year, we have once again worked in collaboration with their marketing team to implement additional functionality to help streamline their internal processes. Whilst they continue to use an industry specific 3rd party software for their spa bookings, the hotel wanted the ability to be able to promote and manage bookings to their own events without the need for a 3rd party software. Having already delivered a loyalty programme system for them, the team at Ye Olde Bell knew Keane would be able to understand their specific and individual requirements and translate these into a user-friendly, easy to manage booking system available on their website.

The update to their "What’s On" section brings seamless online booking capabilities to their events, ensuring a streamlined experience for customers and maximising operational efficiency for the internal team at Ye Olde Bell Hotel.

The enhanced functionality includes a host of new features, all designed with both user convenience and business flexibility in mind.

Key Features Delivered:

Online Booking with Integrated Payments
Customers can now browse Ye Olde Bell’s events, book tickets directly online, and make secure payments via Stripe. Once a booking is completed, an automated confirmation email is sent to the customer, with a copy sent to Ye Olde Bell’s designated mailbox to ensure efficient tracking and management.

Customisable Event Options
Ye Olde Bell has full control over which events are bookable online, allowing them to toggle availability with ease. For bookable events, the system supports:

  • Flexible package options (e.g., Bronze, Silver, Gold).
  • Combination tickets for varying groups (e.g., 2 Adults, 2 Children).
  • Date-based event configurations (e.g., Christmas Party Nights), enabling dynamic pricing and ticket options.

Automated Pre-Order Emails
To further enhance the customer journey, the system includes functionality to send pre-order emails for relevant events. This feature allows Ye Olde Bell to:

    • Set a pre-order email date.
    • Upload a menu PDF for customer review.
    • Automate the sending of customised pre-order emails to paid bookings, requesting menu selections in advance.

Capacity Management
The new system introduces robust capacity controls, ensuring no event exceeds its limits. Capacity can be managed at both event and ticket levels as well as at date level:

  • Total event capacity can be defined.
  • Each ticket type or "item" can have its capacity impact configured. This ensures precise capacity tracking and availability updates in real time.
  • Each date can have the capacity defined to overwrite the default event capacity if required.

This project is a prime example of Keane’s ability to deliver tailored digital solutions that address the unique needs of our clients and as such, has equipped Ye Olde Bell with tools to enhance their customer experience while improving operational efficiency.
